Terms of Service

1. About RoomCompanion

RoomCompanion is an AI-powered online marketplace that connects travelers (“Guests”) with property owners, managers, hotels, apartments, and other accommodation providers (“Hosts”). We facilitate bookings but are not a party to the direct contract between Guests and Hosts.

2. Eligibility and Accounts

• You must be at least 18 years old (or the age of majority in your jurisdiction) to use the Platform.
• You may register as a Guest or as a Host.
• You agree to provide accurate, complete, and up-to-date information and to keep your account credentials secure.
• You are responsible for all activities that occur under your account.

3. Host Responsibilities

If you list a property on RoomCompanion:

• You must own or have legal authority to rent the property.
• You are solely responsible for the accuracy of your listing (description, photos, amenities, pricing, house rules, availability, etc.).
• You are responsible for complying with all applicable laws, taxes, permits, licenses, insurance, and safety standards for short-term rentals in your area.
• You agree to honor all confirmed bookings and provide the accommodation as described.
• You are responsible for setting your own cancellation policy and handling any issues during the guest’s stay (except for payments processed through our platform).
• We may require identity verification or background checks for Hosts.

4. Guest Responsibilities

When making a booking:

• You agree to pay the total amount shown at checkout (including accommodation price, service fees, taxes, and any other charges).
• You must comply with the Host’s house rules and cancellation policy.
• You are responsible for your own conduct during the stay and any damage caused to the property (beyond normal wear and tear).

5. Bookings and Payments

• All bookings are made directly between the Guest and the Host. RoomCompanion acts only as an intermediary.
• Payments can be made via Mobile Money, Visa/Mastercard (credit/debit cards), or Bank Transfer.
• We (or our third-party payment processors) handle collection of payments from Guests and payouts to Hosts, minus applicable service fees.
• Service fees are non-refundable unless otherwise stated in the specific cancellation policy.
• Cancellation and refund policies are determined by the Host and clearly displayed during booking. You must review them before confirming a booking.
• We reserve the right to cancel or modify bookings in cases of suspected fraud, errors, or force majeure events.

6. AI-Powered Features

RoomCompanion uses artificial intelligence to help match Guests with suitable stays, generate recommendations, speed up searches, and improve the booking experience.

While we strive for accuracy, AI-generated suggestions are for guidance only. We do not guarantee the suitability, availability, or quality of any recommended listing. Guests and Hosts remain fully responsible for their decisions.

7. User Content and Listings

• You grant us a worldwide, non-exclusive, royalty-free license to use, display, and promote any content (photos, descriptions, reviews, etc.) you upload.
• You represent that your content is accurate, does not infringe third-party rights, and complies with our content guidelines.
• We may remove or edit any content that violates these Terms.

8. Reviews and Ratings

Guests and Hosts may leave reviews after a stay. Reviews must be honest and respectful. We reserve the right to remove reviews that contain offensive language, spam, or personal information.

9. Prohibited Activities

You agree not to:

• Use the Platform for any illegal purpose or in violation of applicable laws.
• Post false or misleading listings or reviews.
• Attempt to circumvent our payment system or fees.
• Harass, threaten, or discriminate against other users.
• Use automated tools (bots, scrapers) without permission.
• Upload viruses, malware, or harmful code.

10. Fees and Service Charges

We charge service fees for using the Platform (clearly shown during the booking process). Hosts and Guests may also be responsible for applicable taxes. Fees are subject to change with notice.

11. Limitation of Liability

To the fullest extent permitted by law:

• RoomCompanion is not liable for the conduct, acts, or omissions of Hosts or Guests.
• We do not guarantee the quality, safety, legality, or availability of any listing.
• Our total liability to you shall not exceed the amount you paid to us in the 12 months preceding the claim.
• We are not liable for indirect, incidental, consequential, or punitive damages.

12. Disclaimers

The Platform is provided “as is” and “as available” without any warranties, express or implied. We do not warrant uninterrupted or error-free service.

13. Termination

We may suspend or terminate your account at any time for violation of these Terms, fraud, or other reasons, with or without notice.

14. Changes to These Terms

We may update these Terms from time to time. Continued use of the Platform after changes constitutes your acceptance of the new Terms. We will notify you of material changes.

15. Governing Law and Dispute Resolution

These Terms shall be governed by the laws of the Republic of Uganda. Any disputes shall be resolved in the courts of Kampala, Uganda.
